Positions – Two roles who will work together closely as an Executive Coordination team – Executive Coordinator and Assistant Coordinator
Reporting to the International Central Council (ICC), the Coordination team has strategic and operational responsibility for Africa Inter-Mennonite Mission (AIMM) staff, programs, expansion, and the execution of its purpose. They both have deep knowledge of fields, core programs, operations, and plans.
Since AIMM has members in both Africa and North America, it is important that the Coordination team also have a member in each of these contexts, with a familiarity of that context’s constituency and culture. The Executive Coordinator will be based in Africa and will be 1.0 FTE, while the Assistant Coordinator will be based in North America and be 0.5 FTE (with possible increase as budget allows). Together, the two roles will equal 1.5 FTE. The two roles are intended to complement and support each other. Each will have strong inter-personal skills and the ability to work collaboratively and interculturally in ways that nurture accountability and trust. The areas of joint responsibility will necessitate flexibility as the two members work out effective and efficient ways of sharing and dividing work roles, with consideration of each person’s unique gifts, abilities and opportunities.
Joint Responsibilities Leadership&Management:
Ensure ongoing programmatic excellence, rigorous program evaluation, and consistent quality of operations and systems; recommend timelines and resources needed to achieve the strategic goals.
Identify and develop collaborative ministry initiatives that strengthen their witness in collaboration with AIMM members.
With the ICC chair, plan and implement the annual meetings of the Partnership Councils and the ICC.
Actively engage and energize AIMM members, volunteers, board members, alumni, partnering organizations, and funders.
Represent AIMM to Anabaptist partner organizations and in organizations in which AIMM is a member, Mennonite World Conference’s Global Mission Fellowship and the Council of International Anabaptist Ministries, for example.
Maintain regular communication with African and North American members to encourage and assess collaborative projects that strengthen their witness.
Identify and promote initiatives that enhance relationships between AIMM members in Africa and those in North America, with the goal of increasing collaborative ministry engagement.
Work with the chairs of the three AIMM boards to maintain and support strong boards of directors; serve as ex-officio of each board: International Central Council (ICC), AIMM US board, and AIMM Canada board.
Lead, coach, develop, and retain AIMM team members.
Manage relationships with the Leadership Coaching ministry and Hope for Congo.
Ensure effective systems to track progress, and regularly evaluate program components, so as to measure successes that can be effectively communicated to the board, funders, and other constituents.
Ensure narrative and financial reporting processes for all projects funded through AIMM.
Submit to the ICC narrative and budget reports of AIMM activities and funds. This includes the Executive Coordination’s Semi-Annual reports and the yearly financial reports, among others that the ICC may require.
With other AIMM staff, maintain organized records of AIMM activities. This will require proficiency in computer skills, including software applications, word processing, data analysis, scheduling, and communication.
Fundraising&Communications:
Build AIMM presence and relationships to garner new opportunities.
Planning&NewBusiness:
Along with the ICC Accompaniment Committee, prepare the yearly Executive Coordination Action Plan.
In collaboration with ICC leadership, establish budgetary priorities, prepare annual budget proposals for the ICC, and implement the ICC’s budgetary decisions.
Build and solidify AIMM member partnerships that respond to the new and evolving contexts in which those members minister.
Responsibilities specific to the Executive Coordinator role The Executive Coordinator will support and build relationships with and between the members in Africa while overseeing the development of ministry initiatives in that context.
Strategic and relational support of AIMM members and ministries in Africa
General oversight of current AIMM projects
Develop a schedule for visits to different members and projects; be willing to travel frequently within Africa, with about one trip annually to North America.
Support relationship-building and collaboration between members in Africa.
Mentor and support the development of leaders.
On-going assessment towards the future of ministries, ensuring healthy development towards interdependency and local empowerment.
Ensure support of AIMM members through times of challenge or conflict
Facilitate and oversee the transfer of financial resources to AIMM members in Africa.
Ensure the development of new collaborative projects among AIMM members in Africa that enhance their ministry of witness in the world.
“Wake and shake” people to the potential of what they already hold in their hand; build awareness of the strength and gifts of local communities; support its development and empowerment with training; look for ways to share these gifts, wisdom and insights, to communities in North America.
Ensure that AIMM projects grow out of needs and desires of the communities in which they are implemented, that they are approved by the local and regional churches of those communities, and that they are well defined by action plans and budgets.
Represent the vision of AIMM ministry in ways that inspire and invite engagement; share stories with the Assistant Coordinator based in North America and other AIMM staff in ways that they can also pass on.
Responsibilities specific to the Assistant Coordinator: The Assistant Coordinator will oversee the AIMM administration and staff, while relating with North American supporters.
Lead, coach and supervise AIMM staff in areas of Church & Donor Relations and Communications; provide Human Resource support
Recruit and supervise AIMM staff
Engage consultants and temporary staff as necessary to meet the evolving needs of AIMM.
Work with AIMM church & donor relations staff to oversee the expansion of revenue generating, fundraising and grant application activities to support existing program operations and planned expansion; support relational visits, exchanges and short/long term placements.
Assure with AIMM staff efficient communications—including web presence, print material, email and social media communication, and external relations with the goal of creating a stronger brand.
Working with AIMM members and staff, develop information flows that effectively communicate successes to board members and constituents.
Oversight of financial and administrative programs in North America; supervision of finance staff
Supervise the AIMM bookkeeper to ensure efficient processing of donations, issuance of receipts, and maintenance of a bookkeeping system that accurately records income and expenses, with special attention to restricted income funds.
Coordinate with Evangelical Mennonite Conference office staff the transfer of Canadian donations to AIMM International and ensure the sending of thank-you notes to donors of those funds.
Oversee the authorization and transfer of resources for AIMM member ministry initiatives that are funded through AIMM.
Working with the AIMM bookkeeper, ensure the execution of internal quarterly reviews and external yearly reviews of AIMM accounts.
Represent the vision and stories of AIMM ministry in Africa in ways that inspire and invite engagement; travel to Africa for in-person ICC meetings about once annually, with accompanying visits to member churches and ministries, will build the awareness and understanding of AIMM ministries and church leaders in Africa in order to share the AIMM vision.
